The process below explains how alternate Registration Focal Points (alternate RFPs) may recall event applications from primary Registration Focal Points (primary RFPs). The primary RFP is the main recipient and actionee for submitted event request forms for conferences and symposia as well as scientific and technical meetings. However, if delegated and at the discretion of the main RFP, the alternate RFP may take over the review process by re-calling the application from the InTouch+ Dashboard and subsequently also take action (approve/reject/request for more information).
As alternate RFP, navigate to the “Dashboard” tab and insert one of the search criteria, e.g. project, event, or application number, application status or name, or as in the example below “submitted within 7 days”.
a) Click on the arrow to expand the project number to event number, and lastly to application number.
b) The application symbol and the number under the RFP column indicates that the application is currently pending the primary RFP’s approval.
c) Click on the arrow symbol to recall the application from primary RFP, i.e. you are now taking over the application to approve it.
d) Confirm recalling the application by clicking on “OK”.
e) You will be navigated directly to the application form, where you can review the applicant’s credentials.
f) Click on the triangle symbol to collapse the page. Save or print the profile and application overview from the top right-hand corner.
g) A number of new sub-tabs will appear next to the “Request Form”. The “History” sub-tab gives you an overview of the application status, inlcuding actions taken. The column describing the actions changes as the application moves further along in the process for endorsement and approval.
The “Documents” sub-tab provides an overview of the participant’s profile and application documents.
The “Previous Involvements” sub-tab lists events the participant has already attended. Provided she/he participated in events prior to May 2017, a link listing the attended events will be available.
h) Navigate back to the “Request Form” sub-tab and click on “Approve and Submit”.
i) A new pop-up window will appear, requesting you to re-confirm that you want to approve the request. Approve the application by clicking on “OK”.
j) Navigate back to the “Home” or “Approvals” tab and the “Completed” actions item to find the application you just approved with an updated submission status, namely “Country Approved”:
